Property management for small homeowner associations in Frankfurt
Many property managers do not accept small associations. VIMA takes on HOA management from 8 units in Frankfurt and the Rhine-Main region. Clear processes and a workload that is viable for both sides are what matter.
Request a non-binding initial conversationWhy do property managers turn down small HOAs?
The annual budget, annual statement, yearly owners’ meeting, resolution record and bookkeeping are required regardless of the number of units. A small association needs these tasks just as a large one does.
At the same fee per unit, eight units generate only a quarter of the revenue of an association with 32 units to cover this fixed workload. The workload therefore does not fall in proportion to revenue. This is why many managers decline – it is a calculation, not a lack of interest.
How VIMA addresses this.
VIMA works entirely digitally and remotely. Digital processes organise the work rather than adding administrative overhead. We do not operate a walk-in office that the association would have to help finance.
Every request is documented as a ticket with a reference number. Our target processing time is two working days – a processing target, not a guarantee.
What small associations still receive.
Fewer units do not mean less care. Small HOAs also need complete statements and well-prepared decisions. Our general HOA management overview describes the full scope.
Complete annual statement
The association receives a complete annual statement with individual statements for each owner.
Prepared draft resolutions
Draft resolutions are prepared for the owners’ meeting so that the association can make decisions on a clear basis.
Personal IHK qualification
Our managing director is a certified property manager under § 26a WEG (IHK). We provide proof of the examination before signing a contract.
Financial-loss liability insurance
VIMA holds financial-loss liability insurance. We provide evidence of insurance before signing a contract.
When professional management is not worthwhile.
We do not take on HOA management below 8 units because it is not economically viable for both sides. In such cases, self-management with external bookkeeping is often the more sensible option. The association must consider the time, organisation and legal requirements involved.
However, any individual owner can demand the appointment of a certified manager under § 19 (2) no. 6 WEG. This is part of proper management and can be enforced in court if necessary. An exception applies to buildings with up to eight individually owned units if an owner has been appointed manager and no owner demands a certified manager.
